Privacy Policy

This policy explains how We Are Caring collects, uses, shares and protects personal data when you use our website, our apps (We Are Caring Hire Helper and We Are Caring Find Jobs) and our services. It is written for families, helpers, job applicants and anyone who contacts us.
1. Who we are
We Are Caring Pte Ltd (UEN 201507515R) is an employment agency licensed by the Ministry of Manpower (MOM) under EA licence 15C7788, at 61 Killiney Road, Level 2 (#02-00), Singapore 239522. It is responsible for the personal data described in this policy.
When you use our services in Hong Kong, We Are Caring Hong Kong Limited (Hong Kong EA licence 82091) is responsible for your data, and Hong Kong's Personal Data (Privacy) Ordinance also applies.

2. The personal data we collect
From families (employers):
- name, phone, email and address
- NRIC or FIN, passport and pass details, and other details the Ministry of Manpower (MOM) requires for a work permit application
- details of the people in your household (spouse, children and other family members living with you), as the Ministry of Manpower (MOM) requires for the application or a levy concession
- your income, or your spouse's or sponsor's, which the Ministry of Manpower (MOM) assesses for the work pass application
- copies of identity cards, passes and passports of household members, uploaded on our hiring form
- what you are looking for in a helper
- payment and invoicing details
- messages exchanged with us, and your app account
From helpers:
- name, phone, email, nationality and date of birth
- passport and FIN
- education and employment history, and recommendation letters
- photos and a presentation video
- current salary, shown on your profile as you agree when you sign up in the Find Jobs app
- medical check-up results required for your work permit
- messages exchanged with us
From people who use our website: only what you send us through a form (consent to transfer, lodging booking, feedback, careers, data deletion), and the technical logs our hosting provider keeps to run the site securely. Our website uses no analytics and no advertising cookies.
From job applicants: your CV and the details in your application.
From reviews: names and texts that reviewers publish on our Google Business Profile or Facebook page.
About other people: when you give us details of your spouse, children or other family members, you confirm that you may share them with us for your helper's work pass application.
3. How we collect it
- Directly from you: forms, the apps, WhatsApp, phone, email or in person.
- From a helper's current employer: when they sign a consent to transfer, they give her details and their feedback.
- From our partner agencies abroad: a helper's documents, when she is recruited from her home country.
- From government systems, with your authorisation: such as the employment history the Ministry of Manpower (MOM) requires us to show families, or Singpass Myinfo. Once you have signed our service agreement, our hiring form lets you fill in most of your details from Myinfo, with your consent.
4. Why we use it
- To match families and helpers, and to arrange interviews.
- To apply for, renew, transfer or cancel work permits with the Ministry of Manpower (MOM), and to meet our obligations as a licensed employment agency.
- To arrange maid insurance, medical check-ups, the Settling-In Programme and travel documents.
- To work with our partner agencies abroad, and with embassies, on a helper's recruitment or welfare.
- To support helpers and families during employment, and to handle questions, feedback and complaints.
- To invoice and receive payment.
- To keep the records the law requires.
- To send you news or offers, only if you have agreed; you can unsubscribe at any time.
We do not sell personal data.
5. NRIC and FIN numbers
We collect NRIC and FIN numbers only when they are required:
- for work pass applications and transactions with the Ministry of Manpower (MOM)
- to buy the maid insurance policy
- for the verification of a helper's employment contract at the Embassy of the Philippines or of Indonesia
We protect them closely:
- they are masked in the confirmation emails we send to families
- they are never shown on a helper's public profile
- only staff who need them can access them
6. Who we share it with
- Government agencies: the Ministry of Manpower (MOM) and others, as the law requires. Your income details are shared with no one except the Ministry of Manpower (MOM), and only for the work pass application.
- Insurers and medical clinics: for maid insurance (currently Etiqa) and medical check-ups.
- Our partner agencies abroad: for a helper recruited from her home country.
- Embassies: where accreditation or a helper's welfare requires it.
- Families and helpers: a helper's profile is shown to families using our app: her photos, video, experience and skills, and the current salary she agrees to show when she signs up. Her contact details, passport and NRIC or FIN are never shown on her profile. Once a placement is agreed, the details it needs are shared between the family and the helper.
- Our service providers, who process data for us under contract:
- website hosting (Vercel); and, until it moves into the site, the Singpass Myinfo connection (Cloudflare Workers)
- database and document storage (Supabase), hosted in Singapore
- form emails (Resend)
- filing of the documents uploaded on our hiring form (Google Drive)
- case management for each hiring (monday.com)
- finding a street address from the postal code entered on our hiring form (OneMap, by the Singapore Land Authority): only the postal code is sent
- customer records and meeting booking (HubSpot)
- app infrastructure, notifications and in-app purchases (Supabase, RevenueCat, Apple and Google)
- Our related companies: We Are Caring Hong Kong Limited, when you use our Hong Kong services; and Caring Recrutement, a separate company, only if you ask us to put you in touch for a move to France.
7. Transfers outside Singapore
Some providers store data outside Singapore, and a helper's recruitment involves her home country. When personal data leaves Singapore, we make sure it receives protection comparable to the PDPA, through contracts or the provider's own commitments.
8. Your choices and rights
- Withdraw your consent: at any time, by writing to our Data Protection Officer. We will explain what this means for the services we can still provide, for example that we may no longer be able to process a work permit.
- Access and correction: ask to see the personal data we hold about you, or to correct it. We reply within 30 days. Access requests carry a fee of S$30, which we tell you about before we proceed; corrections are free.
- Deletion: ask us to delete your account and data through our data deletion page. We complete requests within 30 days, except for records the law requires us to keep.
9. How long we keep it
We keep personal data only as long as we need it for the purposes above, or as long as the law requires. For example, employment agencies must keep placement documents such as employment contracts, employment history and work pass authorisations for at least 3 years from the date of the work pass (Ministry of Manpower (MOM) licence conditions). Invoices and accounting records are kept for 5 years. CVs from job applicants are kept for 36 months. Then we delete or anonymise the data.
10. How we protect it
- Access is limited to staff who need the data for their work.
- Data is encrypted in transit.
- Our staff are trained on data protection, and our code of conduct commits us to the PDPA.
11. Data breaches
If a data breach is likely to cause significant harm, we notify the Personal Data Protection Commission and the people affected, as the PDPA requires.
12. Cookies
Our website sets no analytics or advertising cookies. Our apps use Supabase, RevenueCat, Apple and Google services to work properly. Our hiring form on app.wearecaring.com uses two cookies, only if you fill it in with Singpass: one for the few minutes of the Singpass sign-in, and one that keeps your Myinfo details, encrypted, for up to an hour while you finish the form. Both are deleted when you submit the form or when they expire, and the form can’t work without them. Videos on our website come from YouTube and Vimeo: nothing is loaded from them until you point at or play a video, and from then on they receive your IP address and may set their own cookies, under their own privacy policies. We use YouTube’s privacy-enhanced mode and Vimeo’s do-not-track option.
13. Other websites
Our pages link to services run by others, such as WhatsApp, HubSpot meeting booking, Google Maps and Caring Recrutement. Their own privacy policies apply when you use them.
14. Changes to this policy
We update this policy when our practices change. The date at the top shows the latest version.
